Welcome to Adventure Vision Treks. By booking a trip or using our services, you agree to these Terms and Conditions. This document outlines the responsibilities, policies, and legal agreements between you and our company. Please read it carefully before confirming your booking.
Booking and Payment
Your booking with Adventure Vision Treks is confirmed only after receiving a deposit, typically 20–30% of the total trip cost. The remaining balance must be paid before the trip departure, usually upon arrival in Nepal or as agreed in advance. Payments can be made via bank transfer, online payment systems, or cash.
Cancellation Policy
If you need to cancel your trip, you must inform us in writing. Cancellations made more than 30 days before departure are eligible for a refund minus administrative costs. For cancellations made between 15 to 30 days, 50% of the total amount will be refunded. Cancellations made less than 15 days before departure are non-refundable. In case of unavoidable situations such as natural disasters or political instability, we will try to offer alternative arrangements or partial refunds where possible.
Trip Changes and Itinerary Modifications
Adventure Vision Treks reserves the right to modify or adjust itineraries due to weather conditions, health concerns, government regulations, or other unforeseen circumstances. These changes are made to ensure your safety and provide the best possible experience during your trip.
Travel Insurance
All clients are required to have comprehensive travel insurance that covers emergency evacuation, medical treatment, trip cancellations, and loss or damage of personal belongings. This is especially important for trekking and high-altitude activities in Nepal.
Health and Fitness
Participants must be in good physical and mental condition suitable for trekking and adventure activities. Any pre-existing medical conditions must be disclosed at the time of booking. Adventure Vision Treks will not be held responsible for any health-related issues that arise during the trip.
Guide and Staff Authority
Our guides and staff are responsible for ensuring safety and smooth operation during the trip. Clients are expected to follow all instructions provided by the guide. If a participant fails to comply or behaves in a way that jeopardizes the group's safety, the guide has the authority to terminate their participation without a refund.
Risk and Liability
Adventure travel involves inherent risks, including altitude sickness, unpredictable weather, and challenging terrain. By joining our trips, you acknowledge and accept these risks. Adventure Vision Treks is not liable for any personal injury, illness, loss, damage, delays, or additional expenses caused by circumstances beyond our control.
Permits and Documentation
We arrange all necessary trekking permits and documentation required for your trip. Clients must provide accurate personal details and a valid passport. Any additional costs resulting from incorrect or incomplete information will be the client's responsibility.
Accommodation and Transportation
Accommodation and transportation are provided as outlined in your selected package. This may include hotels, tea houses, or lodges, as well as private or public transportation. In some cases, changes may occur due to availability or unforeseen circumstances, but we will ensure suitable alternatives are available.
Environmental Responsibility
Adventure Vision Treks is committed to responsible tourism. We encourage all travelers to respect local cultures, traditions, and the natural environment. Clients are expected to avoid littering and follow sustainable trekking practices, including Leave No Trace principles.
Complaints and Claims
If you have any complaints during your trip, please inform your guide or our office immediately so that we can address the issue as quickly as possible. We aim to resolve problems on the spot to ensure a better experience.
Governing Law
These Terms and Conditions are governed by the laws of Nepal. Any disputes arising from our services will be handled under Nepalese legal jurisdiction.
